Job Title: Night Desk Assistant
Job Description:

Summary:The Desk Assistant is a representative of the staff, serving an important role in developing a sense of community. The desk assistant is responsible for three areas of accountability.  These areas are the keys to the orderly operation of the front desk.  

Essential Duties and Responsibilities (other duties may be assigned): 

Administrative

  • Attend one-on-one meetings with supervisor as directed.
  • Distribute and collect notices, reports, and forms as directed.
  • Complete all paperwork legibly and in a timely manner.
  • Be familiar with after-hours communication protocol and check the communication log at the start of each shift.
  • Alphabetize and file all resident records as needed.
  • Alphabetize and copy all rent checks as needed for the Bookkeeper.
  • Email residents who have a package in the Community Center.
  • Monitor the entrance, first floor, and immediate outside surroundings
  • Monitor security cameras and respond appropriately.
  • Monitor Keyscan ID Access System to verify resident access.
  • Manage guest sign-ins and sign-outs by retaining guest identification and logging guests
  • Contact maintenance staff, Resident Assistant staff, and On-Call Professional staff when necessary and appropriate.
  • Maintain a clean and organized Security Desk.
  • Any duties or tasks as assigned.
 Customer Service
  • Answer phone calls and transfer phone calls appropriately
  • Assist residents with documenting maintenance issues using the online work order system.
  • Provide assistance in emergency situations.
  • Possess general knowledge about the local University and city
  • Understand, communicate, enforce, and follow all University and property rules, regulations, policies and procedures.
  • Assist on-call staff in resolving conflicts and respond to inappropriate behavior as needed.
  • Foster a positive, cooperative and comfortable environment for residents. 
  • Maintain high standards in behavior and attitude.  
Requirements:

Education/Experience/Abilities: Six months to one year related experience 

Communication Skills: Proficient communication skills required. Ability to read, analyze, and interpret business/financial reports, and legal documents. Ability to address common inquiries or complaints from residents, prospective tenants, parents, university or community officials, or members of management. Ability to write business correspondence and proposals that conform to prescribed style and format of the Company. 

Math Ability: Proficiency in business math required. Ability to calculate figures and amounts such as discounts, interest, commissions, proportions and percentages. Ability to apply concepts of basic math and algebra. 

Reasoning Ability: Ability to define and solve problems, collect and analyze data, establish facts, and draw valid conclusions. Ability to deal with several abstract and concrete variables. 

Computer Skills: Proficient computer skills required including knowledge of Email, Internet, Word Processing software; Spreadsheet software; database software, and Property management software.
